Privacy Policy

N4 Chauffeurs, formerly NAIR Chauffeurs (ABN 22433268178, "we", "us"), is a premium chauffeur service in Melbourne and Geelong. We respect your privacy and handle personal information in line with the Privacy Act 1988 and the Australian Privacy Principles. This policy explains what we collect, why, who we share it with, and your choices.

What we collect

When you ask for a quote, contact us or book, we collect:

• your name, email address and phone number;
• trip details: pickup and drop-off addresses, date and time, flight number, number of passengers and bags;
• if you tell us, the ages of children travelling and whether you need a child seat;
• any notes or special requests you give us, and messages you send us;
• your booking history, and how and when a booking was paid (never your card number).

When you agree to our Terms & Conditions we also record the time, the version of the terms and technical details such as your IP address and device type, as evidence of your agreement.

We collect this from you directly, through our website, QR codes, email, phone and messages. We do not buy personal information from anyone else.

Why we collect it

• to prepare your quote, take your booking and carry out your trip;
• to email you about your quote, booking and tax invoice, and to contact you about your trip;
• to take payment and keep the records the law requires for tax and accounting;
• to handle changes, complaints and disputes, and to keep our service safe and secure.

We do not sell your personal information, and we do not use it for advertising.

Who we share it with

The chauffeur assigned to your trip sees your name, phone number, pickup and drop-off, flight number and any trip notes, so they can pick you up. They do not see prices or payment details, or other customers' information.

We also use these service providers, who handle information only to provide their service to us:

• Cloudflare. Hosts this website and our booking system, and runs the bot check on our forms.
• Resend. Sends our emails: your quote, booking confirmation and tax invoice.
• Google. Address suggestions and distances (Google Maps), the fonts on this site, and the trip entry in our business calendar.
• Square, Tyro, Zeller and ANZ Worldline. Process card payments. They handle your card details; we never see them.
• Push notification services (Google, Apple, Mozilla, Microsoft). Deliver a short alert about a trip to our own phones. They are used only by our team.

We may give information to our accountant or advisers, and to government bodies or others where the law requires or allows it.

Overseas providers

Some of these providers store or process information outside Australia, including in the United States. We use providers that protect information with security measures appropriate to its sensitivity.

Cookies and analytics

We do not use advertising or tracking cookies of our own on this website. We use privacy-friendly website statistics from Cloudflare, which count visits without following you across other sites. Google Fonts and Google Maps load from Google and receive your IP address when they do. The bot check on our forms may use a short-lived token in your browser to confirm you are a person.

Google user data

N4 Chauffeurs connects to Google Calendar so that our confirmed bookings appear on the business’s own calendar. This section explains exactly what that involves.

• What we access. One Google account: the business owner’s. With the owner’s permission (thecalendar.events permission) our system creates, updates and deletes calendar events for our bookings. We do not access customers’ Google accounts, calendars, contacts, email or any other Google data. To check the connection is working, the system reads at most one calendar entry.
• What goes into a calendar event. The booking reference, the passenger’s name, the pickup and drop-off addresses, the date and time, the flight number if given, and the assigned chauffeur and vehicle.
• How we use it. Only to schedule our own trips. We do not use it for advertising, we do not sell it, and we do not use it to build profiles or for any purpose unrelated to running the booking.
• What we store. The permission Google gives us (a token, kept as an encrypted secret on our hosting) and the identifier of each calendar event, so that we can update or remove it. The calendar entries themselves stay in Google Calendar.
• Who sees it. The business owner, and anyone the owner chooses to share the calendar with. We do not share or transfer this information to anyone else, except where the law requires it.
• Removing it. A booking’s calendar entry is deleted when the booking is cancelled or deleted. The owner can withdraw our access at any time at myaccount.google.com/permissions, and can ask us to delete any information we hold by emailing bookings@n4ir.com.

N4 Chauffeurs’ use and transfer to any other app of information received from Google APIs will adhere to theGoogle API Services User Data Policy, including the Limited Use requirements.

Keeping your information safe

Information is stored in secured cloud services and sent over encrypted connections. Our systems need a sign-in, and access is limited to the people who need it to do their job. Chauffeurs can see only their own trips. No system is perfectly secure, so if a breach is likely to cause you serious harm we will tell you and the Office of the Australian Information Commissioner, as the law requires.

How long we keep it

We keep booking and payment records for at least 5 years after the trip, because Australian tax law requires it. After that, and for requests that never became a booking, we delete or de-identify information we no longer need. We keep a nightly backup of our system for 30 days, so something we delete can remain in a backup for up to 30 days afterwards.

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Email bookings@n4ir.com. We may need to confirm who you are first, and we reply within 30 days. We may need to keep some records, such as tax invoices, where the law requires it.

Complaints

If you are unhappy with how we handled your information, tell us at bookings@n4ir.com or on +61 403 344 424 and we will look into it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Chauffeurs and suppliers

For the chauffeurs who drive for us we also keep contact details, date of birth, home address, an emergency contact, ABN, driver licence and accreditation details, bank details for payment, a police check if they choose to give one, and (if they drive their own vehicle) the vehicle’s details, registration, insurance and any inspection documents. Chauffeurs give us these through a private onboarding link, and the documents are kept in private storage that only the owner can open. We also keep sign-in details and trip activity such as pickups and completed trips. We use these to check that a chauffeur may drive for us, to pay them, to run our service and to meet our legal obligations.

Children

Our service is for adults. Where children travel, an adult books for them and we collect only the information needed to provide a safe trip, such as ages for child seats.

Changes to this policy

We may update this policy. The latest version is always on this page, with the date it was last updated.
